Work Experience Reporting

In work experience reporting, APEGS would like you to state the project related role and background information. Each point mainly consists of statement with first person singular tense. It is recommended to avoid using terms such as “assisted”, “involved”, or “participated” and any similar references to the work due to the fact that these words are typically generic and does not add any value in the personal contribution section of the project.

Moreover, when implementing the project in work experience reporting, it is mandatory to state the progress from the previous role. Also, work experience typically ranges from the scale of 5-55 and thus, the APEGS report must include how your role changes over the experience as soon as you bridge higher ladders in your field of expertise.

It is also recommended to state single project example in numerous report areas. For instance, theory related information in one of the projects could demonstrate application in component design, management activities such as supervising technicians and monitoring costs along with social implications awareness. But, it is mandatory to state various experiences in the report for working capabilities portraying in various circumstances and fields.

Work Experience Reporting – Engineering

Before applying for APEGS Work Experience Reporting, it is always recommended to thoroughly read and understand the guidelines. This step will significantly enhance the success chance and reduce the risk of re-submission. APEGS Canada have started new online Competency-Based Assessment (CBA) experience reporting system which typically came into effect on January 01, 2019.

There is also a paper-based system for engineers-in-training and this is only for those engineers who are eligible to continue experience reporting in the outgoing. For a Professional Engineer in the United States with up-to-date NCEES Records, then it is enough for academic documents, experience reporting and references. There is no requirement to submit experience reports on APEGS form if you will be submitting your NCEES Record.

The APEGS work experience reporting is required for Engineers and Geoscientists for recording, assessing, and validating engineering and geoscience work experience. It allows applicants for identifying and meeting the organization’s competency categories for professional engineering or geoscience registration.

Firstly make sure to go through the reporting guidelines thoroughly before beginning the work experience submission. This would greatly enhance the chances of success and therefore avoid the hassle of rejection.

Note 1: registered members-in-training and member-in-training applicants (international applicants), assigned with confirmatory exams, can commence with the experience reporting.

Note  2: If you have experience as a professional engineer in the United States and also have NCEES record, your NCEES record will be sufficient for experience reporting. This means, your NCEES record would be enough for the APEGS form submission, no experience report would be needed in this case.

Results of experience review are never provided over phone, it is provided over email whenever they are ready. Please do not contact the APEGS office for the results. It would take 1 to 3 months for reviewing the experience report and if there is any problem regarding the report, you will be contacted.

CBA APEGS Report Submission Process

There are three methods to submit your APEGS Report to CBA APEGS and these are:

  • Mailing the hard copy of documents and always keep a report copy just in case if it could not arrive to APEGS Canada office.
  • Scanning your documents and sent an email to experience-review@apegs.ca. The scan was needed to be of decent quality and supported with the file size of less than 5MB. Optimum quality is mandatory due to the fact that APEGS Canada print the received reports and scan it again in the small file size for secure posting of files shared for Reviewers. Moreover, if your supervisor scanned and emailed the signed report to you, then you are required to print it again for signature and again scanned it. After printing and scanning the report for the third time, the report quality become too low for Reviewers. Thus, sending the original file over mail is preferred.
  • APEGS Canada normally discourage faxing reports as the quality is low and difficult to read after it scanned again for Reviewers.

For the fresh, online CBA System (engineers-in-training only), all information is submitted from the online system.

How to Calculate Work Experience

The skilled work experience which you gained must be paid work including earned commission or paid wages. APEGS does not count unpaid internships or volunteer work.

You can work more or less than 15 hours per week for the part-time work and it works as long as it adds up to 1,560 hours. You are allowed to work more than 1 part-time job to obtain the hours needed to apply.

Tips for Getting Successful Approval for APEGS Work Experience Reporting

  • Recommended to acquire the designing work while working on enlisting an architect in-preparing.
  • Keeping record of all work understanding and executing expert advancement exercises in a configuration which was adequate for building affiliation.
  • No requirement of picking up Canadian work understanding before applying to a participated designing relationship. Various other participation methods can be conceded meanwhile.

Apply to APEGA as a Professional Member

A professional member has the academic and experience requirements to practise engineering or geoscience and is registered as a professional engineer (P.Eng.), a professional geoscientist (P.Geo.), or both.

APEGA Work Experience Reporting

In case if your engineering or geoscience engineering experience is lesser than 48 months in Canada or internationally, you are then required to submit and apply the member-in-training. APEGA recommends you apply as a member-in-training if your undergraduate degree in not in engineering.

All the applicants are required to complete the academic requirements before applying as a professional member. If you are applying as a professional member and there is any discrepancy is found during the academic review, the board could not review the submitted work experience.

APEGS Work Experience Report Nomination Criteria

To be eligible for nomination you must meet the criteria of the SINP and provide all of the required documents listed below. Please note that the application fee, if applicable to the category you are applying, is non-refundable.

Applications in each category will be processed in the order that they are received. The SINP reserves the right to prioritize applications to meet the Government of Saskatchewan’s strategic priorities. To check current application processing times please visit Application Processing Times.

Before you apply to the Saskatchewan Immigrant Nominee Program (SINP), please review the eligibility criteria and required documents needed to apply in one of the Saskatchewan Experience (SE) sub-categories below.

The Saskatchewan Experience (In-SK) category is for foreign nationals who are currently working and living in Saskatchewan on a valid work permit. There are six sub-categories that foreign workers currently working and living in Saskatchewan may apply for under the SINP.

  1. Skilled Worker With Existing Work PermitThis sub-category is for skilled workers who:
    • Have been working in Saskatchewan with a valid work permit for at least six months;
    • Have a permanent full-time job offer from a Saskatchewan employer. The job is required to be in National Occupation Classification (NOC) Matrix “A”, “B” or “0”; or in a designated trade; and
    • Meet the criteria of the sub-category.

  2. Semi-skilled Agriculture Worker with Existing Work PermitThis sub-category is for semi-skilled workers who:
    • Have been working for more than six months with a valid work permit for the employer offering a job or, who have previously worked in Saskatchewan for a minimum of six months;
    • Have a permanent full-time job offer from a Saskatchewan employer. The job is required to be in the following National Occupation Classification (NOC) occupations:
      • NOC 8431: General Farm Worker
      • NOC 8432: Nursery and Greenhouse Worker
    • Meet the criteria of the sub-category.

  3. Health ProfessionalsThis sub-category is for skilled workers who:
    • Have been working full-time in Saskatchewan on a temporary work permit for at least six months as a:
      • Physician;
      • Nurse; or
      • Other health professional.

  4. Hospitality Sector ProjectThis sub-category is for foreign workers who want to apply for permanent residency and:
    • Are currently working in Saskatchewan on a temporary work permit through a Labour Market Impact Assessment (LMIA);
    • Have been working with an SINP Hospitality-approved employer for a minimum of six months (780 hours); and
    • Are working in one of the following jobs:
      • Food/Beverage Server (NOC 6513)
      • Food Counter Attendant/Kitchen Helper (NOC 6711)
      • Housekeeping/Cleaning Staff (NOC 6731)
    • Meet the criteria of the sub-category.

  5. Long-Haul Truck Driver ProjectThis sub-category is for long-haul truck drivers who:
    • Will work for an approved trucking firm in Saskatchewan on a temporary work permit issued by Immigration, Refugees and Citizenship Canada (IRCC) and based on a positive Labour Market Impact Assessment (LMIA) from the Government of Canada;
    • Meet the criteria of the sub-category.

  6. Students

This sub-category is for students who:

  • Graduated from a Saskatchewan institute or a recognized post- secondary educational institution in Canada;
  • You’ve worked for a minimum of 6 months (or 780 hours) of paid employment in Saskatchewan;
  • You have a current, permanent, full-time job offer in your field of study from a Saskatchewan employer; and
  • Meet the criteria of the sub-category.

If you have any concerns or need more details after reading the Checklist and the directions in the experience reporting form, please contact the Registration Director or APEGS Registration Assistant. The member in-training and monitoring mechanisms of work experience seek to help: a) to grow a member in-training into a professionally able practitioner; and b) to consider ties with the employer/client, the professional organisation and community. For either the engineer in-training or the geo-scientist in-training, the word “member-in-training” is used. Members-in-training were accountable for their own success and professional growth. The reception of formal feedback by submitting to supervisors/mentors and APEGS by work experience rapports ensure appropriate experience, integrity and ethics are established and skilled training as a professional as practicable. Supervisors and advisors play an important part in the growth of technical registry participation. They are solely responsible for checking the examples recorded, reviewing success and advising that the Member in-training is fit for professional certification at the completion of the 48 months of appropriate working experience. Employers are advised to give members of training a complete spectrum and advancement of engineering or geoscientific roles and resources such that the member of training acquires knowledge and participation across all components of an appropriate job experience set out in Experience Criteria 2 (for engineering) and 3. (for geoscience). In its audit ability, the Experience Examination Committee protects the credibility of the system by evaluating records of job experience, ensuring that participants gain the requisite experience to manage unique situations. The Committee shall provide guidelines as necessary to ensure that training participants are eligible for professional certification.

APEGS Work Experience Reporting

SCHEDULE FOR WORK EXPERIENCE REPORT SUBMISSION

The below are basic directions to direct you through reporting. This schedule often extends to candidates who apply technical knowledge to waive the confirmatory examinations (academic examinations cases), except when five years of experience records are needed (see section 2.1 for further detail on academic review cases). In the following paragraph, some of these points are extended:

1. Send different reports for employee workers.

A career transition for the same boss is known as a different job. For pre-graduate experience, different working terms shall be treated as separate occupations even though the employment continues from an earlier working period.

2. The preliminary reports should be twelve months (or less) in length and the final report can take up to 24 months, but may also be shorter. The final analysis is the new chronological insight (and not the last report submitted).

3. There should be at least three interactions reporting so that the Experience Assessment Committee will have input on the success and view adequate information to make a judgement. For eg, when the training member is working for a complete 48 months without a change in job role by the same company (but improvement is being made in activities and responsibilities) reports are sent at 12, 24 and 48 months (since completing the bachelor degree). If pre-graduation experiences are introduced, the overall report would be shorter than two years. Academic assessment situations where five years of reports on expertise are needed are an exception to this schedule. The final report does not extend two years, although the other preliminary reports (two minimum reports) could be applicable for intervals depending on the work history. For more information on academic evaluation proceedings, see Section 2.1.

4. For those with more than four years of experience, particularly those with foreign experience before coming to Canada, only four years of experience should be submitted for review (except for those of academic assessment cases which require 5 years of experience – see section 2.1). (see point 7). It is up to you if you have four years of background in news. In determining which experience to apply, considerations like selecting the best experience or whether or not you should take care of the superiors should be weighed. Experience not supplied with an experiential report may be given in a resume format and added to each experience report if you wish (to provide Reviewers with an overview of your experience).

5. The recorded experience of at least one year must be gained in a Canadian or equivalent-to-Canadian job environment, excluding academic evaluation situations where foreign experience is available over the full five years. “Canadian equivalent” usually includes something within Canada or the United States and does not involve Canadian graduate studies. However, you can consider it similar to Canadian if you have foreign experience with an organisation that uses Canadian rules, customs and codes. Contact the APEGS office to chat to the Registration Director to help you make the decision. The Canadian impression is typically the final study, although this is often not the case.

6. The credit for overseas experience and advanced education would be given for a period of three years. For further detail, see Section 3 on “Other Types of Experience Credit.”

7. Some of the authorised technical registration encounters must be recent. In the last two years, this usually implies little. For eg, at the time of the technical Participant submission, the end date of the most current report (the final report) must not be more than two years ago.

8. Report on schedule.

Reporting on schedule and as needed is necessary to prevent delays in professional membership certification. Further documentation of job experience will be anticipated if records have not been received as needed. If this is the situation, apply the reports you have produced without further pause. Daily monitoring makes progress evaluation and offers useful input to training participants and managers whether the report-writing skills, experience itself, or progress rate during the membership-in-training span is involved.

9. The number of credit months does not extend the actual period cap for the year. You will only get a 12-month loan for example over a 12-month term, while you worked 80 hours a week. On the first page of the reporting form, 40 or more hours of work a week is considered 100% full time. When you served less than 40 hours a week, it is part-time and the percentage is calculated at a limit of 40 hours. Firstly, if you work as a teacher 10 hours a week, you take 25 percent of the months to obtain the expertise that you apply for.

10.  From time to time, experience notes may be submitted. The Experience Appraisal Committee will update the summary and proposal form (RSF) at the completion of the report form, and determine the state of the report and taking it into account by updating the report before a report is submitted. For instance, if you have prior international knowledge and an international boss has delayed your signature, and if the final Canadian experience report is first signed, you can apply it until you file previous international experience reports.

11. Contact the APEGS office if you are not sure what your history is.

Using the Work Experience Record

You are required to provide all the relevant information only in the space provided. Do not go past the limits of cell. Any errors on the WER submission will delay the application processing.

  • Your experience cannot include any Pre-Graduate Experience Credit. 
  • Your experience must be entered in reverse chronological order (newest first), without overlaps, separated by job title or employer. This includes holding different position titles consecutively within one employer.
  • Prepare the list of all the gaps in unrelated employment, employment, and parental leave. Do not require to include the gaps detailed descriptions.
  • In the “Engineering Experience Summary” section, only list the engineering work brief details that was executed.

ACADEMIC REVIEW CASES

This segment is not appropriate for you if you are enrolled and have technical experience as a part of the training programme. The nominees lacking the authorized engineering credential recognized by the Council and who have at least a degree in engineering or geo-science education assessed by the Academic Examination Committee are given three confirmatory evaluations (ARC). The confirmatory tests are a tool to determine if the standard of schooling is at least comparable to the level of bachelor’s in Canada.

The theory behind using expert assessment as an alternative to confirmatory exams is that the bachelor’s education must be created in order for the person to conduct his/her engineering/geo-science work to conform to the minimum required standard of a Canadian engineer or geo-scientist. If the claimant appears to have been specialized in engineering or geology (according to its summary) from around the world over at least five years, the ARC can waive confirmatory exams by sending five year meetings to the Experience Evaluation Committee (ERC). The ERC will assess whether the background suggests that the candidate is interested in having a Bachelor’s degree in engineering or geo-science. The level of experience the ERC seeks is the minimum standard necessary to waive the confirmatory examination for the professional registration. These are training candidates, so APEGS continues to evaluate its academics.

In the event that the experimental reports show that the applicant is apparently sufficiently educated to conduct acceptable engineering or geo-science work according to the minimum standards for professional registration and confirmatory examinations, the ERC shall also grant credit for professional registration. This is the same test as for all members who qualify for professional licensing experiences. The amount of months of experience is dependent on the five years of experience offered. For example, if any five years are international, a maximum of three years of experience would be provided for professional registration (because one year is allocated for Canadian and Canadian experience).

If the expertise is Canadian or ‘Canadian counterpart’ for a 12-month span, a professional registration can require up to four years of experience. For academic assessment situations, the transparency requirements listed in this article are the same as for participants eligible for a credit for experience with two exceptions:

1. An extra year of expertise will be given for academic evaluation cases for a total of five years;

2. Purely project management experience is not sufficient to exclude confirmatory checks. The majority of the research listed in the papers for institutional tests will have awareness of direct theory application. For candidates with strict project management expertise, no principle existing in the applicant’s job usually is extended explicitly. Lack of direct theory implementation experience, particularly the engineering and engineering review prevents the committee from judging whether confirmatory examinations can be withdrawn.
